Privacy Policy & Terms of Use

How we handle the information you send us through this website, and the terms that apply when you use it. Written in plain language — if anything here is unclear, ask us.

Part 1 — Privacy Policy

Who we are

Himalaya College of Engineering ("HCOE", "we", "us") is a Tribhuvan University-affiliated college located in Chyasal-9, Lalitpur, Bagmati Province, Nepal. We operate this website at hcoe.edu.np and are responsible for the personal information collected through it.

This policy explains what we collect, why we collect it, how long we keep it, and the choices you have. It applies to this website only — not to Tribhuvan University systems or other websites we link to.

Information you give us

We only collect information you deliberately submit through a form on this site:

  • Admission application — your name, date of birth, gender, address, phone number, email, guardian details, academic records, entrance examination roll number and rank, programme priorities, and your acceptance of the applicant undertaking.
  • Admission inquiry — your name, phone number, email, and the programme you are interested in.
  • Contact message — your name, phone number, email, and the message you write.
  • Faculty application — your name, contact details, qualifications, and the CV or supporting document you upload.

Information collected automatically

Like most websites, our servers record standard technical information when you visit — the pages requested, the time of the request, your browser type, and your IP address. This is used to keep the site running, diagnose faults, and detect abuse.

We also use analytics and advertising measurement tools (which may include Google Analytics, Google Tag Manager, and the Meta pixel) to understand which pages are useful to visitors. These tools set cookies in your browser and may collect an anonymised or truncated identifier for your device. They do not tell us your name.

Cookies and how to refuse them

Cookies are small files a website stores in your browser. We use them to keep the site functioning and, where analytics is enabled, to count visits.

You can block or delete cookies at any time in your browser settings, and you can install a browser extension that blocks analytics scripts. The informational parts of this website work normally without cookies. Blocking cookies does not prevent you from applying or contacting us.

Why we use your information

We do not sell your personal information, we do not rent it, and we do not share it with advertisers.

  • To process and assess your admission or employment application.
  • To reply to your inquiry or message by phone or email.
  • To send you information about admissions, deadlines, and results for the programme you asked about.
  • To meet our record-keeping obligations to Tribhuvan University and to Nepali authorities.
  • To improve this website and keep it secure.

Who can see your information

Submitted forms are visible only to authorised HCOE staff who need them for the purpose above. Each staff member has an individual account, and every access and change is recorded in an internal activity log.

We share personal information outside the college only where it is necessary: with Tribhuvan University and other regulators where we are required to report, and with the service providers who host our website and store our files under contract. We will also disclose information where a law or a valid order of a competent Nepali authority requires it.

How long we keep it

Admission applications are retained for the duration of the admission cycle and afterwards for as long as institutional and Tribhuvan University record-keeping requires. Inquiries and contact messages are kept while they are useful for follow-up and then deleted. Unsuccessful faculty applications and the documents attached to them are deleted once the recruitment concludes, unless you ask us to keep them on file.

How we protect it

The site is served over an encrypted HTTPS connection. Administrative access requires an individual account and password, permissions are limited to what each role needs, uploaded files are checked before they are accepted, and changes are logged.

No system is perfectly secure. Please do not send citizenship numbers, bank details, passwords, or other sensitive information through the contact or inquiry forms — no HCOE form asks for them, and we will never ask you for a password.

Your rights

Under the Individual Privacy Act, 2075 (2018) of Nepal you may ask us to:

  • Tell you what personal information about you we hold.
  • Correct information that is wrong or out of date.
  • Delete information we no longer need to keep.
  • Stop sending you admission-related messages.

Children

Our programmes are for applicants who have completed higher secondary education. We do not knowingly collect information from children. If a parent or guardian believes a child has submitted information through this site, contact us and we will remove it.

Part 2 — Terms of Use

Accepting these terms

By using hcoe.edu.np you accept the terms below. If you do not accept them, please do not use the website.

Accuracy of the information published here

We work to keep programme details, fees, admission dates, and notices accurate and current. Even so, information on this website is provided for general guidance and can change without notice.

Where anything on this site conflicts with an official notice issued by the college office or with a rule of Tribhuvan University, the official notice and the University rule prevail. Confirm critical details — deadlines, fees, eligibility, examination schedules — with the college office before acting on them.

Your responsibilities when submitting a form

  • Provide accurate, complete, and truthful information. A false statement or a forged document may result in your application being rejected or your admission being cancelled at any stage.
  • Submit only your own information, or information you are authorised to submit.
  • Do not attempt to gain unauthorised access to the site, disrupt it, submit automated or bulk submissions, or upload files containing malicious code.
  • Do not submit content that is unlawful, defamatory, obscene, or infringes someone else's rights.

Applications and admission

Submitting an application or inquiry through this website does not create any obligation on the college to admit you and does not by itself constitute admission. Admission is granted only through the official admission process, subject to eligibility, entrance results, seat availability, and Tribhuvan University rules.

No fee is payable through this website. Never send money to anyone who claims to guarantee admission — contact the college office directly to verify any request for payment.

The text, photographs, logo, and design of this website belong to Himalaya College of Engineering unless stated otherwise. You may read, print, and share pages for personal, educational, or non-commercial use with attribution. Reproducing the content commercially, or using the HCOE name or logo in a way that suggests an association or endorsement that does not exist, requires our written permission.

Documents that carry another organisation's copyright — syllabuses, University question papers, partner materials — remain the property of that organisation.

Links to other websites

This site links to Tribhuvan University, government bodies, partners, and other external websites for your convenience. We do not control those sites and are not responsible for their content, their availability, or their privacy practices. Read their own policies before submitting anything to them.

Availability and liability

We aim to keep the website available at all times but cannot guarantee uninterrupted or error-free service. Access may be suspended for maintenance or for reasons outside our control. To the extent permitted by law, HCOE is not liable for any loss arising from use of, or inability to use, this website or from reliance on information published on it.

Changes and governing law

We may update this document from time to time. The effective date at the top shows when it last changed; continuing to use the site after a change means you accept the updated version.

This document is governed by the laws of Nepal, and the courts of Nepal have exclusive jurisdiction over any dispute arising from it.

To ask what we hold about you, to correct it, to have it deleted, or to raise a concern about this document, contact the college office. Tell us your full name and the form you submitted so we can find your record. We respond as quickly as we can, normally within 15 days.
